The Problem
Pension management was heavily reliant on Excel sheets, legacy systems, and physical records, making it difficult to manage large volumes of data efficiently. Through interviews with 3 pension administrators, I identified that manual data entry, scattered information, and complex pension rules led to time-consuming processes and frequent errors. Retrieving or updating a single pensioner’s data required navigating multiple sources, slowing down overall workflow.
Proposed Solution
I introduced a workflow-based system that structures pension data into organized groups across departments, enabling scalable management. Designed a smart search flow to instantly retrieve pensioner details using workflow and user inputs. Built a centralized pensioner management system allowing admins to view, add, and edit data in one place. Focused on a clean and intuitive interface to reduce cognitive load and ensure smooth task completion.
Impact
Achieved 60% increase in workflow efficiency by streamlining processes and reducing dependency on multiple systems. Reduced manual errors by 40% through structured data input and centralized control. Enabled seamless management of 1000+ pensioners within a single system. Validated improvements through user testing, post-launch analytics, and stakeholder feedback.
